Adams & Martin Group is partnering with a respected and growing California-based litigation firm to identify an experienced Litigation Secretary for its South Bay office. Essential Duties & Responsibilities

  • Draft, format, revise, and proofread legal correspondence, pleadings, motions, discovery, and other litigation documents for grammar, spelling, punctuation, and formatting accuracy.
  • Process conflict checks, open new matters, and maintain electronic and physical client files.
  • Manage attorney calendars, including court appearances, filing deadlines, depositions, mediations, and other critical litigation dates.
  • Schedule client meetings and other appointments as necessary.
  • Maintain professional communications with clients, attorneys, court personnel, vendors, experts, and opposing counsel.
  • Prepare and submit electronic filings in California state courts and federal courts through CM/ECF and PACER.
  • Track and calendar litigation deadlines in accordance with the California Code of Civil Procedure, California Rules of Court, Federal Rules of Civil Procedure, and local rules.
  • Organize and prioritize multiple assignments while meeting strict deadlines with minimal supervision.
  • Utilize Microsoft Office Suite, Adobe Acrobat, and other legal technology platforms to support litigation matters.
  • Assist attorneys and support staff as needed to promote teamwork and ensure efficient workflow.
  • Maintain paperless case files and document management systems.
  • Support attorneys with trial preparation, exhibits, binders, and case management activities.

Qualifications

  • Minimum 5 years of litigation secretary experience in California.
  • Prior experience supporting attorneys in insurance defense litigation strongly preferred.
  • Extensive knowledge of California civil litigation procedures and the California Code of Civil Procedure.
  • Strong experience with California state court e-filing and Federal CM/ECF/PACER filing systems.
  • Proven ability to calculate and manage litigation deadlines.
  • Experience maintaining paperless files; familiarity with iManage or similar document management systems is a plus.
  • Advanced proficiency with Microsoft Word, Outlook, Excel, and Adobe Acrobat.
  • Strong attention to detail, organizational skills, and ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a deadline-driven environment.
  • Must successfully pass a background check and drug screening, if required by the employer.
